Are you an organised, proactive administrator who enjoys working in a busy school environment? Do you have excellent attention to detail, strong communication skills and the ability to manage multiple tasks effectively?
We are looking for a School Administrator to join our team and provide high-quality administrative and organisational support across the school. Working closely with senior leaders, teaching staff, students, families and external partners, you will play an important role in ensuring the smooth day-to-day running of administrative processes.

The Role
As a School Administrator, you will provide efficient administrative support across a range of school functions. You will be responsible for maintaining accurate records, coordinating meetings and events, managing communications, supporting school processes and ensuring information is recorded and shared effectively. You will work closely with the Careers Lead, Assistant Headteacher and wider school team, supporting the administration of careers, work experience and personal development activities where required.
Key Responsibilities
School Administration
- Provide efficient day-to-day administrative support to staff and senior leaders.
- Maintain accurate student, staff and school records.
- Manage correspondence, emails, telephone enquiries and general communications.
- Prepare documents, reports, letters, spreadsheets and presentations.
- Organise meetings, appointments, room bookings and associated paperwork.
- Maintain electronic and paper filing systems, ensuring information is accurate and up to date.
- Support the organisation of school events, trips, meetings and activities.
- Monitor deadlines and ensure administrative tasks are completed efficiently.
- Liaise with parents, carers, students, staff and external organisations in a professional manner.
Careers & Work Experience Administration
- Provide administrative support for careers events, employer visits, workshops and trips.
- Assist with the coordination of student work experience placements.
- Maintain accurate records of placements, student participation and employer information.
- Support safeguarding and compliance checks for work experience and external activities.
- Update school systems and platforms such as Unifrog.
- Prepare documentation and communications for students, families, employers and staff.
- Assist with monitoring deadlines and following up outstanding information.
Data & Systems
- Maintain accurate databases, spreadsheets and digital records.
- Input and update information across relevant school systems.
- Produce reports and information for staff and senior leaders when required.
- Ensure records are handled confidentially and in line with school policies.
- Use Microsoft Office, including Word, Excel and Outlook, confidently.
- Support the effective use of digital platforms and administrative systems across the school.
About You
We are looking for someone who:
- Has previous administrative experience, ideally within a school, education or similar busy environment.
- Is highly organised with excellent attention to detail.
- Can manage multiple priorities and meet deadlines effectively.
- Has strong written and verbal communication skills.
- Is confident using Microsoft Office and digital systems, particularly Excel and Outlook.
- Is comfortable maintaining databases, records and spreadsheets.
- Can work independently while also contributing positively to a wider team.
- Is proactive, reliable and able to use their initiative.
- Understands the importance of confidentiality and safeguarding.
- Has a professional, approachable and supportive manner.
- Enjoys working with young people and contributing to a positive school environment.
Experience using school management systems or platforms such as Unifrog is desirable, but not essential.
