Harlow, Essex – Specialist SEMH School
36 hours per week | 47.4 weeks per year (Term Time + INSET + 1 week)

In a specialist SEMH setting, every role plays a part in shaping a young person’s experience. As a School Administration Officer, you will be at the heart of the school—ensuring everything runs smoothly, so that staff can focus on what matters most: supporting pupils to thrive.
The Opportunity
Parker Smith Inclusion is working in partnership with a specialist SEMH school in Harlow, supporting pupils across Key Stages 3 and 4.
This is a varied and rewarding role where no two days are the same. You will work closely with the Headteacher and wider leadership team, playing a key role in the organisation, communication, and day-to-day running of the school.
This setting supports pupils who may have experienced significant challenges in education, so a calm, organised, and adaptable approach is essential.
The Role
You will be a central point of coordination within the school—supporting administration, communication, compliance, and operational systems.
Your responsibilities will include:
School Administration
- Managing the school’s MIS, ensuring all pupil and staff records are accurate and up to date
- Overseeing emails, correspondence, and day-to-day office operations
- Supporting admissions processes and ensuring smooth pupil transitions
- Maintaining and organising key records, including safeguarding, HR, and health & safety documentation
- Supporting the leadership team with calendars, meetings, and key school events
- Assisting with procurement processes, orders, and financial administration
- Coordinating transport, trips, and weekly operational needs
Staff & HR Support
- Supporting recruitment, onboarding, and HR administration processes
- Maintaining staff training records and supporting CPD tracking
- Assisting with the organisation of meetings, interviews, and staff events
- Supporting the development and maintenance of policies and procedures
Pupil & Safeguarding Support
- Supporting the administration of pupil records, EHCPs, and annual reviews
- Assisting with safeguarding processes, including maintaining accurate records
- Coordinating first aid and medical processes
- Acting as a key link between school, families, and external professionals
Health, Safety & Facilities
- Supporting compliance with health and safety procedures and risk assessments
- Working alongside site staff to maintain a safe, secure environment
- Assisting with audits, contractor coordination, and site management processes
Communication & Engagement
- Acting as a welcoming first point of contact for visitors, families, and professionals
- Supporting school communications, including newsletters and updates
- Helping maintain the school website and wider communication platforms
About You
We are looking for someone who is highly organised, adaptable, and enjoys being part of a busy, purpose-driven environment.
You will ideally:
- Have experience in a school or administrative setting
- Be confident managing systems, data, and multiple priorities
- Have strong communication skills and a professional, approachable manner
- Be calm under pressure and able to respond flexibly to changing needs
- Have a strong understanding of safeguarding and confidentiality
- Be committed to supporting a nurturing, inclusive school environment
Experience within a specialist or SEMH setting would be beneficial, but not essential—what matters most is your attitude, resilience, and commitment.
